Job Description

Tender and Vendor

  • To handle tender preparations & submission including supporting documents compilation. Ensures all tender dateline are complied with the client’s requirement.
  • To ensure all company document related to tender requirement(eg MOF registrations, financial statement) is up to date and valid to be used as and when required.
  • To attend vendor procurement management training (Petronas SMART GEP, Procure here, TAMS etc.) conducted by clients for procurement system purpose (RFQ and Tender Submission)
  • To assist in tender preparations & submission including supporting documents compilations

Master Listing, Record and Report

  • To ensure filing system and master listing is up to date including costing sheet, proposals, tenders and any registration with clients
  • To assist the department in maintaining the documentation that related to ISO 9001:2015 & ISO 14001 : 2015 management systems.
  • To ensure main proposal master list is up to date for order, proposal submission and client details (Order & Client Details)
  • To prepare the Monthly Order Report ( excel , slide, winning rate), Summary : Proposal Submission


  • To assist the RAM Credit Information (RAMCI) requested by others and declare invoice from finance department for each segment
  • Ola Bola Booking Slot with Group Executive Director’s office
  • To order and ensure the readiness stationaries stock for division to be used.
  • Inbound and Outbound email related with client request, vendor and internal staff
  • Update SAGE X3 For Proposal Master list and Purchase Request Process
  • To perform ad-hoc duties as instructed by the superior from time to time


  • Possess Degree In Business Administration or related field
  • Min 5 years experiences working experience in related field
  • Good teamwork & can work independently when required
  • Excellent written and verbal communication skills
  • Capable to communicate with all level
  • Can start immediately is an added advantage

Skill Required:

Administration works and knowledge in tender processes

Time Management and IT related skills
